TeamTimes — Terms of Use

1. What TeamTimes is, and who provides it
TeamTimes (teamtimes.org and the TeamTimes iOS app) helps a team leader plan shifts on a rota, record clock-in and clock-out times, and work out hours and what is owed. It is a calculator and record-keeping aid — nothing more.

By creating an account or using TeamTimes, you agree to these terms. If you do not agree, please do not use it. See also our Privacy notice.
2. Times and pay figures are for convenience — your official records are yours
TeamTimes is not a payroll system and is not your legal record. The hours, totals and amounts it shows are a convenience. You — the employer, business owner or team leader — remain responsible for your own official records, your payroll, and for complying with the law.
- Nothing TeamTimes produces is tax, legal, accountancy, payroll or employment advice.
- You are solely responsible for taxation and the correct reporting and payment of all taxes (including PAYE, National Insurance, VAT or any equivalent), employment law, the National Minimum Wage and National Living Wage, working-time and rest-break rules, holiday and sick pay, right-to-work checks, health and safety, statutory record-keeping, and data-protection law in respect of the people whose details you enter.
- Check every figure before you rely on it, pay anyone, or submit anything to any authority. Clock times can be missed, mistyped, tapped twice or corrected by hand; devices and clocks can be wrong; a rota is a plan, not proof of attendance.
- You confirm you are the leader of the people you add (or are properly authorised to act for their employer), and that your relationship with them is your responsibility, not ours.
3. Who can see your team's data
TeamTimes is built around shared team accounts. Please understand what that means:
- Anyone signed in to the leader account — or to a delegate administrator account you create — can see and change every member's details, including names, card numbers, hourly rates, clock times and pay records. There is no separate lock inside the team.
- Members who sign in to the staff area can see their own schedule and hours, and can see who is currently on site by card number only, not by name.
- Your data is protected only by your device and your account. Anyone who can unlock your phone or tablet, sign in as you, use a kiosk you left open, or hold a delegate passcode you handed out, can see it. Keep your device locked, use two-factor authentication on your sign-in provider, sign out on shared or kiosk devices, and remove delegate administrators when they leave.
- If you export or share a timesheet, rota image or PDF, it leaves TeamTimes and we cannot control it. We are not responsible for what other people do with information you shared, or for anyone who gains access to your account, your device, a kiosk, or a link or file you passed on — a partner, a family member, a colleague, an employer, anyone.
- Because you are entering other people's personal data, you must tell your team that their names, hours and pay are being recorded in TeamTimes and have a lawful basis for doing so. TeamTimes does not use GPS, location tracking, cameras or biometrics of any kind.
4. We are not liable for lost data — keep your own copy
TeamTimes is provided free of charge and “as is”. We do not promise that your data will be kept, synced, delivered or recoverable. Records can be lost, deleted or corrupted by a sync conflict, a device failure, an accidental deletion, a lost password, an account closure or a service outage.
We are not liable for lost, deleted or corrupted data. Please export your records regularly (Settings → Account, or the report and export screens) and keep your own backup or paper copy of anything you would be sorry to lose.
5. Lawful and fair use
- Use TeamTimes only for lawful, non-abusive purposes. You are solely responsible for complying with the law where you are.
- Do not use it to harass, surveil or intimidate anyone, to hold data you have no right to hold, to attempt to break, overload or reverse-engineer the service, or to resell it.
- You are responsible for everything done under your account. Keep your credentials secure.
- We may suspend or remove an account that breaks these terms, and we may cooperate with lawful requests from the police, a court or a regulator.
6. Warranty and liability
The service is provided “as is” and “as available”, without warranty of any kind, express or implied, including fitness for a particular purpose, accuracy, or uninterrupted availability. We may change, suspend or discontinue any part of it at any time.
To the fullest extent permitted by law, our total liability to you for any and all claims connected with TeamTimes is limited to £50 (TeamTimes is free to use). We are not liable for any tax, penalty, interest, fine or assessment imposed on you; any underpayment or overpayment of wages; any miscalculation, data loss, corruption, downtime or error; or any indirect, incidental, special, consequential or punitive loss, including loss of profit, revenue, goodwill or data.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded. If you are a consumer, you keep all rights the law gives you that cannot be signed away.
7. Indemnity
If someone brings a claim against us because of your business, the people you engage, the data you entered, or your breach of these terms or of any law, you agree to cover our reasonable losses and costs in dealing with it.
8. Changes to these terms
We may update these terms. The date at the top always shows the current version. Employers are also asked to accept the in-app Terms & Conditions again when their wording changes; that acceptance is recorded for audit (see the Privacy notice). Continuing to use TeamTimes after a change means you accept the updated terms.
9. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you are a consumer resident elsewhere, you keep the mandatory protections of your own country's law.
If you downloaded the app from the App Store, Apple's standard licensed-application end user licence agreement also applies. Apple is not a party to these terms, provides no warranty for TeamTimes, and is not responsible for it or for any claim relating to it; Apple and its subsidiaries are third-party beneficiaries of these terms and may enforce them.
